Reporting directly to Chief Financial Officer (CFO), but also covering the General Counsel, the Executive Assistant provides executive support in a one-on-one working relationship. The ideal candidate will experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting multiple high profile, highly mobile executives. Personality is equally as important as experience and must be able to formulate decisions and execute independently with a high degree of efficiency and accuracy.

The Executive Assistant must be creative and enjoy working within a small, very fast paced and demanding entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This individual will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities

  • Coordinates, directs office services, such as records and personnel to aid Chief Financial Officer
  • Handle multiple requests for time on executives calendar and utilize strong judgment in managing priorities of requests and escalating as necessary for resolution and/or prioritization.
  • Plan, coordinate, and facilitate on-site and off-site Executive Leadership meetings and functions.
  • Create and edit presentations, communications, and other documents including board reports.
  • Communicate on behalf of the executive team to clients, investors, partners, board members, and team managers.
  • Organize travel, accommodation, and transportation.
  • Prepare monthly expense reports and take on special projects as needed.
  • Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary.
  • Partner with other EA partners in the company on organizing cross-functional events, meetings, programs.

Requirements

  • 5+ years of experience supporting c-level executives
  • Strong, polished, and independent personality with a high degree of intellectual horsepower
  • A track record of exemplary tenure over the course of his/her career
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Experience assisting executive with the creation and editing of PowerPoint presentations
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Deep experience scheduling travel arrangements for highly mobile executive
  • Experience successfully creating and/or modifying processes
  • Availability to perform job duties outside of normal business hours when necessary
  • BA/BS or equivalent experience
